Volunteer clerk to the trustees of Launde Abbey

Are you good at organising papers and people? able to see the wood for the trees? a clear communicator in writing? The Launde Abbey Trust is looking for a volunteer clerk to support the Chair, Committee Chairs and Warden in ensuring the smooth operation of its governance.

Launde Abbey is a beautiful old country house with a mediaeval chapel and peaceful gardens, set in unspoiled countryside.  With a staff of around 33, many volunteers and a small residential community, it is owned and run by a charitable trust.  We are in the process of re-focusing our vision around the characteristics of prayer, hospitality, community and sanctuary. 

Activities of the clerk would largely be focused on meetings of the Full Board, the Estate Committee and the Finance and Personnel Committee, each of which meets 6 times a year for 2-3 hours (a total of 18 meetings a year).  Meetings usually take place at Launde Abbey (LE7 9XB) or on Zoom.  Tasks include:

  • Preparation of agendas and collation of papers, under the direction of the appropriate Chair and the Warden, and liaising with other trustees and senior staff members
  • Attendance of meetings to take notes and then preparation of draft minutes of each meeting shortly afterwards for the appropriate Chair
  • Diary coordination of attendees when meetings have to change
  • Maintenance of trustee contact details, safeguarding status, skills audit and similar
  • Maintenance of a tidy online shared filing system for all papers

Previous experience of working with charity law and governance would be helpful but not essential.  This role could be shared between 2 people.
